Census Health, Inc. (“Census Health,” “we,” “us,” or “our”) operates the website at https://census.health (the “Website”) and provides a cloud-based platform that brings together customer relationship management (CRM), electronic health record (EHR), and revenue cycle management (RCM) capabilities for healthcare organizations (the “Service”). This Privacy Policy describes how we collect, use, disclose, and safeguard personal information in connection with the Website and the Service.

This Privacy Policy applies to information we handle as a business through our Website and in operating our Service. It does not govern Protected Health Information that we process on behalf of our customers, which is addressed separately in Section 4. By using the Website or the Service, you acknowledge the practices described in this Privacy Policy. If you do not agree with it, please do not use the Website or the Service.

1. Information We Collect

Information you provide to us

Account and contact details. When you create an account, request a demonstration, or contact us, we may collect your name, work email address, phone number, job title, and organization.

Submissions and communications. When you complete a form, request a resource, or correspond with us by email or support request, we collect the information contained in those submissions and messages.

Billing details. If your organization purchases the Service, we collect billing contact information. Payment card details are handled by our third-party payment processor and are not stored on our systems.

Information we collect automatically

Usage information. We collect information about how visitors interact with the Website, such as pages viewed, links followed, and referring pages.

Device and connection information. We may collect your IP address, browser type, operating system, and similar technical identifiers.

Cookies. We and our service providers use cookies and similar technologies as described in Section 5.

Information from other sources

We may receive limited business-contact information about you from third parties, such as business directories or marketing data providers, which we may combine with information we already hold to support our own business and outreach.

2. How We Use Information

We use the information we collect to:

  • Operate, maintain, secure, and improve the Website and the Service;
  • Respond to inquiries, provide demonstrations, and fulfill requests;
  • Communicate with you about the Service, including updates and, where permitted, information about features or events that may interest you;
  • Understand how the Website is used so we can improve it;
  • Detect, investigate, and prevent fraud, abuse, and security incidents; and
  • Comply with our legal and regulatory obligations.

3. How We Share Information

We do not sell your personal information. We may share information in the following circumstances:

Service providers. We share information with vendors that perform functions on our behalf — such as hosting, analytics, and email delivery — who are permitted to use it only to provide services to us.

Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.

Legal and safety. We may disclose information where required by law or legal process, or where we believe disclosure is necessary to protect the rights, property, or safety of Census Health, our users, or others.

4. Protected Health Information

The Service is built for healthcare providers and organizations that are subject to the Health Insurance Portability and Accountability Act of 1996 and its regulations (“HIPAA”). When we create, receive, maintain, or transmit Protected Health Information (“PHI”) on behalf of a customer through the Service, we act as that customer's Business Associate under a Business Associate Agreement (“BAA”).

This Privacy Policy does not govern PHI processed through the Service. The handling of that PHI is governed by the applicable BAA between Census Health and the customer, together with HIPAA and applicable state law. Our customers, as covered entities or business associates, are responsible for obtaining any patient consents required for their use of the Service. Information collected through our marketing Website is not PHI.

5. Cookies and Similar Technologies

We use a limited set of cookies and similar technologies on the Website:

Essential cookies. These are necessary for basic functions such as navigation and access to secure areas of the Website.

Analytics cookies. These help us understand how visitors use the Website — for example, which pages are viewed — so we can improve it.

We do not currently use cookies or technologies for third-party advertising or cross-site marketing. If we adopt such technologies in the future, we will update this Privacy Policy and provide any choices required by law. You can manage or disable cookies through your browser settings; disabling some cookies may affect how the Website functions. Our Website does not currently respond to browser “Do Not Track” signals.

6. Data Retention

We keep personal information for as long as needed for the purposes described in this Privacy Policy, and as required to meet our legal, accounting, or reporting obligations. For information collected through the Website, such as form submissions and analytics, we generally retain it for up to thirty-six (36) months following your last interaction with us, after which we securely delete or de-identify it, unless a longer period is required by law.

7. Data Security

We maintain administrative, physical, and technical safeguards designed to protect personal information against unauthorized access, use, alteration, or destruction. These include encryption of data in transit using TLS, access controls, and periodic security reviews appropriate to our size and stage. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.

8. Your Rights and Choices

All individuals

Marketing communications. You can opt out of marketing emails by using the unsubscribe link in any such message or by contacting us at privacy@census.health. We will still send necessary service-related messages.

Cookies. You can manage cookies through your browser settings, as described in Section 5.

U.S. state privacy rights

Depending on where you live, you may have rights under state privacy laws such as the California Consumer Privacy Act, as amended by the California Privacy Rights Act (CCPA/CPRA), and comparable laws in states including Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and Montana. These may include the right to:

  • Know and access the personal information we hold about you;
  • Request correction of inaccurate personal information;
  • Request deletion of your personal information, subject to legal exceptions;
  • Opt out of the "sale" or "sharing" of personal information (we do not sell personal information); and
  • Not be discriminated against for exercising your privacy rights.

9. Children's Privacy

The Website and the Service are intended for businesses and are not directed to individuals under 18, and we do not knowingly collect personal information from children. If we learn that we have collected such information, we will delete it promptly. If you believe a child has provided us information, contact us at privacy@census.health.

10. Third-Party Links

The Website may link to websites or services operated by others. We are not responsible for their privacy practices, and we encourage you to review the privacy policies of any third-party sites you visit.

11. Information Processing in the United States

Census Health is based in the United States, and we process and store information in the United States. If you access the Website from outside the United States, you understand that your information may be processed in a country whose data protection laws may differ from those of your location.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. When we make a material change, we will revise the “Last Updated” date above and, where appropriate, provide notice by email or through the Website. We review this Privacy Policy at least annually. Your continued use of the Website or the Service after a change takes effect indicates your acceptance of the updated Privacy Policy.
